AI invoicing for tradesmen means you describe the job by voice or a quick typed note on site, and the app builds an itemized invoice you check and send before you leave the driveway. The best-known options are Housecall Pro’s free AI Invoicing app, Jobber, ServiceM8, QuickBooks Online and Invoicer.ai. Most offer a free plan or a 14-day trial.

What AI invoicing for tradesmen actually does
It does two separate jobs, and most apps are only strong at one of them.
Job one: writing the invoice. You say something like “Smith job, replaced 40-gallon water heater, two hours labor, haul-away of the old unit.” The AI turns that into line items, quantities and a total. This is the part that saves you an evening at the kitchen table.
Job two: chasing the money. Reminder emails and texts go out on a schedule when an invoice sits unpaid, and the customer pays by card or bank link. This is the part that actually shortens how long you wait to get paid.
If you only fix job one, you still end up texting customers at night asking for payment. Pick a tool that covers both, or pair a free invoice writer with a cheap tool that sends reminders.
The tools, one by one
1. Housecall Pro AI Invoicing
A free mobile app from Housecall Pro: you talk about the job and it builds an itemized invoice ready to send.
Best for: A plumber, electrician or HVAC tech working alone who wants voice invoicing without a monthly fee.
Price: Free to use, with unlimited invoices and estimates, as of October 2026. Card processing starts at 2.59% and bank payments cost 1%. The full Housecall Pro platform is separate: Basic $59, Essentials $149 and Max $299 a month billed annually ($79, $189 and $329 billed monthly).
Pros:
- Voice input built for the field: name the customer, the work, the price and any discount, then edit by voice.
- No subscription for the invoicing app itself.
- Paid plans include Housecall Pro’s AI team members on every tier.
Cons:
- Scheduling, dispatch and team features sit in the paid platform.
- Their phone-answering AI (CSR AI) is a paid add-on, with no price shown on the pricing page.
Check before you buy: Dictate a messy real job, with parts, labor and a discount, and see how much you have to fix before it is ready to send.
2. Jobber
Field service software for quotes, scheduling, invoicing and payments, with AI Voice on mobile and AI Chat on web and mobile.
Best for: A two-to-ten person crew that wants the quote, the job and the invoice in one record.
Price: As of October 2026, Core (1 user) is $49 a month with no commitment, or billed yearly at an intro price and then $29 a month. Connect starts at $99 and Grow at $149 a month billed yearly after intro pricing, rising with users. Extra users are $29 a month each.
Pros:
- Jobber AI Voice can create quotes without tapping or typing, so the quote you send becomes the invoice later.
- Connect and higher plans send automated quote and invoice follow-ups.
- Invoicing is included on every plan, even Core.
Cons:
- Core does not list automatic payment reminders, so the cheapest plan only covers job one.
- The pricing page does not say which plans include AI Voice and Chat.
Check before you buy: During the 14-day trial (Grow features), confirm that AI Voice is on the plan you would actually pay for.
3. ServiceM8
Job management for trades with AI helpers that draft quotes, invoices, emails and texts, plus a voice assistant.
Best for: A solo tradesman with fewer than 30 jobs a month who wants AI on a free plan.
Price: As of October 2026, Free covers 1 user and 30 jobs a month. Paid plans have unlimited users and are priced by job volume: Starter $29 (50 jobs), Growing $79 (150 jobs), Premium $149 (500 jobs) a month.
Pros:
- AI Quote and Invoice and the AI Smart Helpers are listed on every plan, including Free.
- Starter adds progress invoicing, useful for staged jobs.
- Unlimited users on paid plans, so adding an apprentice costs nothing extra.
Cons:
- Job caps: go over and you get 7 days before you are pushed to upgrade or wait for your cycle to reset.
- Texts cost 10 cents each on the Free plan.
Check before you buy: Count your jobs for last month. If you are near a cap, price the next plan up, not the one that fits today.
4. QuickBooks Online
Accounting software with Payments AI, which proposes personalized reminders for unpaid invoices, plus a free AI invoice generator.
Best for: A trade business whose bookkeeper or accountant already works in QuickBooks.
Price: As of October 2026, Essentials is $85 a month at regular price for 3 users, with 50% off for the first 3 months. Payments AI is listed from Essentials up. The standalone AI invoice generator is free and needs no sign-up.
Pros:
- Invoices land straight in your books, so there is no second system to reconcile.
- You review and edit AI-drafted reminders before they go out.
- The free generator lets you see how it handles your job descriptions before paying anything.
Cons:
- It is accounting software, not field software: no dispatch or job scheduling.
- Payments AI is not on Simple Start, the cheapest paid plan.
Check before you buy: Ask your accountant which plan they want you on before you pick one. Switching later is a hassle.
5. Invoicer.ai
An invoicing and estimates app with an AI invoice generator on every plan.
Best for: A one-person shop that wants cheap invoicing and nothing else.
Price: As of October 2026, Basic $12, Pro $25 and Advanced $39 a month billed monthly, or $8, $20 and $25 a month billed yearly.
Pros:
- Unlimited clients, invoices and estimates on every plan.
- The cheapest monthly price of the five.
Cons:
- Late payment reminders start at Pro, and recurring invoices only come with Advanced.
- AI assistant use is rationed by plan (light, standard, heavy).
Check before you buy: If you have maintenance contracts, make sure the plan you pick handles recurring invoices.
How to pick in two minutes
- You work alone and want free: Housecall Pro AI Invoicing or ServiceM8 Free.
- You run a crew and quote most jobs: Jobber or the paid Housecall Pro platform, so quotes, jobs and invoices stay connected. Our guide on how to write quotes faster with AI covers the quoting side.
- Your accountant lives in QuickBooks: QuickBooks Online Essentials. Our roundup of AI accounting software for small business compares it with the other bookkeeping options.
- You only need invoices and reminders: Invoicer.ai Pro.
How to set it up in an afternoon
- Build your price book first. Enter your standard services, hourly rate, trip charge and common parts with your prices. The AI fills invoices from this list. Without it, it guesses or leaves prices blank.
- Write down your terms once. Due date, late fee if you charge one, accepted payment methods. Put them in the invoice template so every invoice carries them.
- Turn on online payments. Connect the app’s card and bank payment option and note the fee. A pay-now link on the invoice does more for cash flow than any AI feature.
- Do a practice invoice on a finished job. Dictate it the way you would in the truck. Fix what it gets wrong and add the missing items to your price book.
- Set reminders. A friendly nudge a few days before the due date, another on the due date, and one a week late is a sensible starting point. Read the wording before you switch it on.
- Review every invoice for the first two weeks. After that, you will know where it slips and can spot-check instead.

Limits: what AI invoicing will not do for you
- It does not know your prices. It only knows what is in your price book. Anything you dictate that is not there needs checking.
- It mishears. Part numbers, measurements and customer names are where voice input slips. Read before you send.
- It does not make judgment calls. Change orders, disputed extras, deposits on big jobs and anything involving liens are still yours to handle.
- It does not do your taxes. Whether you charge sales tax on labor or parts depends on your state. Set the tax rules with your accountant, then let the app apply them.
- Skip it if you send five invoices a month. A plain invoice template and a calendar reminder may be all you need.
How we put this together: we checked each tool’s official pricing and feature pages on October 25, 2026. No vendor paid to be included. Prices change, so confirm on the vendor’s page before you sign up.
Frequently asked questions
Can AI create an invoice for me?
Yes. Apps like Housecall Pro AI Invoicing, ServiceM8 and Invoicer.ai build an itemized invoice from a spoken or typed job description. You still need to check prices and line items before sending, especially for parts that are not in your price book.
What is the best invoice app for tradesmen?
It depends on your size. Solo tradesmen can start free with Housecall Pro AI Invoicing or ServiceM8 Free. Crews that quote and schedule should look at Jobber or the paid Housecall Pro platform, and businesses whose books run in QuickBooks should start there.
Is there a free invoice app for tradesmen?
Yes. As of October 2026, Housecall Pro’s AI Invoicing app is free with unlimited invoices, and ServiceM8 has a free plan for one user and 30 jobs a month. Payment processing fees still apply when customers pay by card or bank.
How can I use AI to automate invoices?
Set up a price book, connect online payments, then switch on automatic payment reminders. The AI drafts the invoice from your job notes, and the reminders chase unpaid ones on a schedule. Review the reminder wording before turning it on.
