To learn how to write quotes faster with AI, start by giving it your real prices once, in a simple price sheet. Then paste in each customer’s request or your site notes and ask for a draft quote using only those prices. You check the numbers and scope, add anything it missed, and send. The AI does the typing. You still do the pricing.

This works for any small business that sends quotes: cleaners, landscapers, painters, plumbers, photographers, event vendors. You can do it with a general chat assistant like ChatGPT, or with the quoting AI already built into job software such as Jobber. Below is the setup, prompts you can copy, and the places it goes wrong.

Why AI makes quoting faster (and where it does not)

AI saves time on the writing, not the thinking. The slow part of most quotes is turning messy notes into clean line items, a clear scope, and a polite cover message. AI is good at that. It is bad at knowing what your time and materials cost, so it should never be the one choosing a price.

  • Good at: turning a rambling email or voice note into tidy line items, writing scope and exclusions in plain English, drafting the cover email, and writing the follow-up when the customer goes quiet.
  • Bad at: knowing your costs, your minimum charge, your travel fee, or what you quoted the neighbor last month. If you do not give it a number, it will happily make one up.

Speed still matters. A customer who asks three businesses for a quote often goes with whoever answers first and clearly. Same-day quotes are the realistic win here.

Step 1: Write a one-page price sheet

A price sheet is the whole trick. It is a plain document with your prices and your rules, written so a new hire could quote from it. Plan on an hour or two the first time. Include:

  • Your main services and how each is priced (per hour, per room, per square foot, per visit, flat rate).
  • Minimum charge, call-out or travel fee, and any rush or after-hours rate.
  • Common add-ons and their prices.
  • What you never include unless asked (permits, disposal, parts, edits, travel over a certain distance).
  • Your standard terms: deposit, payment due date, and how long the quote is valid.
  • One last rule: if a job needs something not on this sheet, leave the price blank and flag it.

Start with your most common job type only. Get those quotes right, then add the next one.

Step 2: Set the AI up once so you do not repeat yourself

If you use ChatGPT, put your price sheet in a Project. OpenAI’s help center says Projects keep related chats, files and instructions together, and you can upload PDFs, spreadsheets and docs as reference. How many files you can add depends on your plan, so check yours.

  1. Create a new project called “Quotes”.
  2. Upload your price sheet and two or three of your best past quotes, with customer names removed.
  3. Add project instructions, for example: “You draft quotes for [business name]. Use only the prices in the price sheet. Never invent a price. If something is not covered, write PRICE NEEDED. Plain, friendly tone. US dollars.”

Before you paste any customer details, open Settings, then Data controls, and decide whether to turn off Improve the model for everyone. OpenAI says new conversations then won’t be used to train its models. On ChatGPT Business and Enterprise workspaces, OpenAI says content is not used for training by default.

Step 3: Turn each request into a draft

Paste in the customer’s email, form answers, or your notes from the walk-through. Typed notes from your phone or a voice-to-text memo work fine. Then use a prompt like this:

Draft a quote from these notes. List each line item with quantity, unit and price from my price sheet. Show subtotal and total. Add a short scope paragraph, a list of what is not included, and my standard terms. Mark anything you could not price as PRICE NEEDED. Notes: [paste]

If the request is too vague to price, ask for a holding reply instead:

This request is missing details I need to quote. Write a short, friendly reply that thanks them and asks these questions: [size, address, photos, timing]. Under 80 words.

Sending that within the hour keeps you in the running while you wait for answers.

Step 4: Check the numbers before anything goes out

Never send an AI draft without reading it. Chat assistants can make arithmetic slips and can drop a line item, so recheck the math yourself or move the line items into your quoting software, which does the totals. A two-minute check:

  • Every price matches your sheet, and nothing says PRICE NEEDED.
  • Quantities match what you measured or counted.
  • Totals add up, and tax is handled the way your accountant set it up.
  • Scope and exclusions say what you will and won’t do.
  • Customer name, address and dates are right, with no details left over from another job.

Step 5: Send it from your quoting tool and let it follow up

Copy the checked line items into whatever you send quotes from, so the customer gets a proper document they can approve. Then use AI one more time for the follow-up: “Write a short, no-pressure follow-up for a quote sent 3 days ago for [job]. Offer to answer questions.” Some job software sends these follow-ups for you. When the job is done and it is time to bill, see our guide to AI invoicing for tradesmen.

A general chat assistant that drafts quotes from your notes and price sheet.

Best for: any business that wants to start tonight without new software.

Price: free plan, plus paid plans. Check current pricing.

Pros:

  • Works for any trade or service.
  • Projects keep your price sheet and instructions in one place.

Cons:

  • No customer approval, deposit or quote tracking.
  • You have to check the math yourself.

Check before you buy: paste three old jobs in and compare its drafts to what you actually charged.

Jobber

Field service software for scheduling, quoting, invoicing and payments.

Pros:

  • Pricing page lists auto-drafted quotes created from new requests.

  • Automatic follow-ups on quotes that have gone quiet.

Cons:

  • Higher tiers get expensive for a bigger team.

Joist

Estimating and invoicing app for contractors.

Limits: what to skip

  • Skip letting AI set prices. Your costs, your market and your margin set prices. AI only fills in what you gave it.
  • Skip auto-sending. Even with built-in quoting AI, read every draft. One wrong number on a fixed-price quote can cost more than a month of software.
  • Skip pasting sensitive details you don’t need. The job description and address are usually enough. Leave out payment details and anything personal that isn’t part of the quote.
  • Skip AI for contract terms. It can tidy your wording, but warranty, deposit and cancellation terms should come from you, ideally checked once by your attorney.
  • Skip it for one-off, complex jobs at first. Start with the work you quote every week. That is where a price sheet pays off.

Frequently asked questions

Can ChatGPT make quotes?

Yes. ChatGPT can turn your notes into a formatted quote with line items, scope and terms. It only knows your prices if you give them to it, so upload a price sheet and tell it never to invent a number. Check the math before sending.

Is there an AI quote generator for business?

Yes. Job software like Jobber lists auto-drafted quotes, Joist lists AI estimate creation, and QuickBooks Online Advanced offers Intuit AI estimates in its mobile app. A general assistant like ChatGPT also works if you paste in your price sheet.

What is the best AI quote generator for trades?

Usually the one inside the software you already schedule and invoice in, because the quote can be approved, paid and turned into a job without retyping. If you have no job software yet, a chat assistant plus a price sheet is the cheapest way to start.

How do I write a quote for a job?

List each item of work with quantity, unit price and total, then the subtotal, tax if it applies, and the final total. Add a short scope, what is not included, payment terms and how long the price is valid. AI can draft all of this from your notes if you give it your prices.
