ChatGPT for plumbers works best as an office helper: it drafts quote write-ups, job descriptions, customer texts, review replies, and marketing posts in minutes. It is not a code book and it is not a licensed plumber. Start on the free plan, set it up with your service area and tone, and check every number before a customer sees it.

What ChatGPT can do for a plumbing business

It handles the writing that eats your evenings. You still decide the price, the fix, and what goes out the door. Here are the jobs it does well, with a prompt you can copy for each. Swap the brackets for your own details.

Quote and estimate write-ups

ChatGPT turns your rough notes into a clean, readable quote. You give it the scope and the numbers; it gives you clear wording. It should never set the price for you.

Turn these notes into a short, friendly quote for a homeowner. Keep my prices exactly as written. List what is included, what is not, and how long the job takes. Notes: [replace 50-gal gas water heater, haul away old unit, new expansion tank, permit, $X total, 1 day]

Customer texts and emails

Running late, parts on back order, a follow-up after a big job: these are short messages that are easy to get wrong when you are tired. Ask for two or three versions and pick the one that sounds like you.

Write a short text to a customer. I am running about 45 minutes late to their [drain cleaning] appointment because the job before ran long. Apologize once, give the new arrival window, and offer to reschedule if that does not work. Under 300 characters.

Job notes and invoice descriptions

A clear line on the invoice means fewer “what is this charge?” calls. Paste your shorthand and ask for plain English a homeowner understands.

Rewrite these tech notes as 3 to 5 plain-English invoice lines a homeowner will understand. Do not add any work that is not in the notes: [replaced wax ring, reset toilet, tightened supply line, tested, no leaks]

Marketing: Google Business Profile, website, and social

Most local plumbing work comes from people searching nearby, so a steady flow of honest posts and clear service pages helps. ChatGPT can draft a week of Google Business Profile posts, a service page for each job you want more of, or a seasonal reminder like winterizing outdoor spigots.

Write 4 short Google Business Profile posts for a plumbing company serving [your towns]. Topics: frozen pipe prevention, water heater flush, sump pump check, and our [same-day drain service]. Plain, local, no hype, under 120 words each, and end each with a simple call to book.

Review replies

Replying to every review shows future customers you care. ChatGPT is good at a calm reply to a tough review, which is the one most owners put off.

Draft a calm, professional reply to this 2-star review. Thank them, do not argue, do not share any job details, and invite them to call me directly at [number] to sort it out: [paste review]

Explaining jobs and training new hires

Ask it to explain a repair in plain words for a customer, or to turn your shop rules into a one-page checklist for a new apprentice. You review it for accuracy before anyone uses it. It is a writing helper here, not a teacher of the trade.

How to set up ChatGPT for plumbers in 15 minutes

A little setup up front means better answers every time, without retyping who you are. Here is a simple order that works on the free plan.

  1. Make a free account. The free plan includes unlimited text chats and limited uploads and voice, per OpenAI’s pricing page. That covers most office writing. Use your business email so it stays with the company.
  2. Turn off training on your chats. Go to Settings, then Data controls, and turn off “Improve the model for everyone.” After that, your new chats are not used to train OpenAI’s models.
  3. Add custom instructions. Go to Settings, then Personalization, and fill in Custom Instructions. They apply to every chat. Free accounts get up to 1,500 characters, which is plenty. Something like the example below.
  4. Keep customer details out, or use Temporary Chat. Write messages with placeholders like [customer name] and fill them in yourself. If you must paste details, a Temporary Chat does not show up in your history and is not used for training, though OpenAI says it may keep it up to 30 days for safety.
  5. Save your best prompts. Keep the five you use most in a note on your phone. The voice option in the app is handy for dictating notes from the truck.
  6. Upgrade only if you hit limits. Paid plans add more uploads and features such as Projects, where you can keep files like your price list together. Check current pricing on OpenAI’s site before you pay. If more than one person in the office will use it, the Business plan is built for teams, and OpenAI says it does not train on business workspace data by default.

I own a small residential plumbing company in [city/area], with [3] trucks. We do repairs, drain cleaning, water heaters, and remodel rough-ins. ChatGPT or the AI in your field service software?

If you already run Jobber or Housecall Pro, check what they include before you copy and paste between apps. Their AI sees your real jobs, customers, and schedule. ChatGPT does not.

What to skip

  • Code questions. Plumbing code, permits, and licensing rules depend on your state and city. ChatGPT can sound sure and still be wrong or out of date. Check the code your inspector uses.
  • Gas, venting, and safety calls. Gas lines, water heater venting, relief valves, and backflow are judgment calls for a licensed pro on site. Do not let a chatbot talk anyone through them.
  • Diagnosing from a photo. It can describe what it sees in a picture and suggest things to check. That is a guess, not a diagnosis. Your eyes on the job win.
  • Doing your pricing math. Set prices from your own costs and price book. Use ChatGPT for the words around the numbers, then check every figure.
  • Fake or AI-written reviews. The FTC’s rule bans fake reviews, including AI-generated ones that claim to be from real customers. Use AI for replies, not reviews. If you are unsure what is allowed, ask your attorney.
  • Customer personal details. Leave out names, addresses, gate codes, and payment info unless you have set up your privacy settings and are comfortable with them.
  • Posting it unedited. Customers can tell. Read it out loud, fix anything that does not sound like you, and send.
