An AI answering service for small business picks up your calls 24/7, answers common questions, takes messages, and on some plans books appointments or transfers callers to you. Most small businesses can start for well under $150 a month. The right pick depends less on the brand and more on how its pricing matches your call volume.

What an AI answering service actually does

It is a phone line with a voice assistant behind it. You forward your business number to it (or to it only when you don’t pick up), give it your hours, services, service area and common answers, and it handles the call. After each call you usually get a text or email summary, and many services keep a transcript.

The features that matter for a small business:

  • After-hours and overflow answering. The main reason to buy one. It catches the calls you miss while you’re with a customer or closed.
  • Message taking and call summaries. Name, number, what they need, sent to your phone.
  • Appointment booking. Either sending a booking link by text or booking straight into your calendar. On some services this is only on higher plans.
  • Call transfers. Passing a caller to you or a staff member when the script says a person should take it.
  • Spam filtering and language support. Several services include spam detection and English and Spanish.

AI, human, or hybrid answering service

This is the real decision, and most “best of” lists skip it.

A rough rule: if most of your calls are “are you open, how much, can I book,” AI handles them fine. If a lot of your calls are worried customers, complaints or big-ticket sales, a person on the line may be worth the extra cost.

A short list across the three pricing models

Prices below are from each vendor’s official pricing page as of September 2026. They change often, so check the current page before you sign up. We have not tested these services hands-on; this is what each one offers per its own site.

  • Dialzara (monthly fee plus minutes). Business Lite is $29/month with 60 minutes, then $0.48 a minute. Higher plans add more minutes at a lower overage rate. Its plans list appointment booking, call routing, CRM and calendar integration, and English and Spanish. 7-day free trial.
  • Rosie (monthly fee plus minutes). Professional is $49/month with 250 minutes and can text callers an appointment link. Booking directly on your calendar and live call transfers start on the Scale plan at $149/month with 1,000 minutes. 7-day free trial.
  • Goodcall (flat fee per agent). Starter is $79/month per agent ($66 billed annually) with unlimited minutes, but it caps unique customers at 100 a month, then charges $0.50 per extra customer.
  • Smith.ai (per call, human option). Its human-first virtual receptionist starts at $300/month for 30 calls, then $11.50 per extra call, with live agents 24/7 and no charge for spam calls. It also sells AI-first and hybrid setups; get a quote for those.

Do the math on your own calls first

Minute caps, customer caps and per-call pricing can land very differently on the same business. Pull last month’s call log from your phone or carrier and count two things: how many calls you missed, and roughly how long a typical call runs.

Here is a hypothetical. Say a small shop sends 50 missed or after-hours calls a month to the service, and they average 2 minutes each, so 100 minutes, from about 50 different callers.

Double the calls and the order can change. Long calls hurt minute plans. Lots of different callers hurt customer caps. Run your own numbers before you pick.

How to set up an AI answering service for small business

  1. Decide which calls go to it. Starting with missed and after-hours calls only is the lowest-risk option. You still answer when you can.
  2. Write its answer sheet. Hours, address, service area, services you do and don’t offer, how you want prices handled, and your booking rules. Anything vague here turns into a wrong answer on the phone.
  3. Set your “get a human” rules. List the situations where it should transfer or flag the call as urgent: an emergency, an angry customer, a large job, anything it can’t answer.
  4. Connect booking only if you trust your calendar. If your calendar is out of date, let it text a booking link or take a message instead of booking directly.
  5. Test it before customers do. Call it from your cell. Ask normal questions, awkward ones, and one that should trigger a transfer. Fix the answer sheet and call again.
  6. Tell callers it’s automated. A short greeting that says so, with a way to reach a person, keeps trust.
  7. Read the summaries for two weeks. Look for wrong answers and missed transfers, and adjust.

What to skip

  • Letting it quote prices it can’t know. If your jobs need a look before a quote, have it book a visit or take a message instead.
  • Using it for complaints or billing disputes. Route those to a person. A frustrated caller stuck with a bot is a lost customer.
  • Turning on call recording without checking the rules. The FCC says it has no rules on individuals recording calls, but some state laws prohibit it. Check your state’s law, and your attorney if you’re unsure, before you record.
  • Health or other sensitive information without checking compliance. If callers share medical details, confirm with the vendor what compliance they offer and get advice before you rely on it.
  • Paying for a plan before you know your call volume. The cheapest headline price is not the cheapest bill if your calls are long or frequent.

Can an AI answering service use my existing phone number?

Usually yes. The common setup is forwarding your current number to the service, either for all calls or only when you don’t answer, and some providers also let you port your number. Check the vendor’s setup instructions for your phone carrier.
